RESERVATION GUIDELINES FOR FACILITIES & ALL GROUP X CLASSES

HOW TO MAKE A RESERVATION:

  1. You will be required to make a reservation for the following:
    1. SIMI VALLEY YMCA – Enrichment Classes, Group Cycle Classes and Aquatic Classes
    2. YARROW FAMILY YMCA - Enrichment Classes, Spyn Classes, Aquatic Classes, Lap Swim, Open Water and Family Swim
  2. Once you join or rejoin, you will receive an email from us that will come from Southeast Ventura County YMCA (MyWellness) – if you did not receive an email or if you would like us to send the invitation again, please send your request to info@sevymca.org.
    1. Subject Line will read: Join Southeast Ventura County YMCA

  1. Click on “JOIN” to set up your account and use the email address that you received this email from (the email that is on your YMCA membership account).
    1. If you have previously created an account with MyWellness, you do not have to create another unless you created it with a different email address. You MUST use the email address that we have in our records.
  2. Once you have created your account, you will need to download the app – search for
    Southeast Ventura County YMCA in the app store.
    1. NOTE: you are only able to make reservations on the app, not your desktop.

  1. Since you have already created an account, you now are able to log in with your credentials.
  2. Once you have logged in, you will be asked to set up your notifications. Then you will click on the home page of Southeast Ventura County YMCA.
  3. As a facility member, you will be able to make a reservation at your branch for the pools and classes (the ones that require a reservation).
  4. At the top of the app, you will see a drop-down arrow. Click on that arrow to choose where you want to make a reservation. Your choices are:
    1. SIMI VALLEY YMCAALL reservations will now be made on this part of the app for every activity at Simi Valley YMCA that requires a reservation including Enrichment Classes, Aquatics Classes and Group Cycle Classes.
    2. YARROW FAMILY YMCA – ALL reservations will now be made on this part of the app for every activity at Yarrow Family YMCA that requires a reservation including Spyn Classes, Enrichment Classes, Aquatics Classes, Lap Lane Reservations, Warm Water Pool Reservations and Family Swim.
  5. NOTE: You can also enter your YMCA Membership Barcode by clicking on the yellow box. Once entered, you will see a small box with a line through it at the top right of the app that you can click on to have your barcode show up to scan at the membership desk at check in.
  6. Once you have chosen where to make your reservation, you will click on the tile labeled, “RESERVATIONS: Find a time that works best for you!” (this will take you to a list of our available reservations, you are NOT signing up for a time slot or class yet at this point).
  7. All reservations open up 49 hours prior to the start of your class/time.
  8. FILTER OPTIONS:
    1. Click on the three lines at the top right of the screen (they form a triangle with the smallest line at the bottom)
    2. A notification will pop up on the bottom – click on the “+” sign on the top right
    3. Create a name for your filter – ie Warm Water Pool Classes
    4. Scroll to the bottom and click on “Room”
    5. Click on “WARM WATER POOL”
    6. Click on “Done”
    7. Click on “Save”
    8. You will now ONLY see indoor reservation times at the facility
    9. If you wish to see Outdoor Facility Reservation times, you can create another filter OR go back to your previous settings.
    10. Click on the time slot you wish to book and select “RESERVE YOUR WORKOUT” to reserve your spot.
  9. You will receive an email confirmation of your booking if your notifications are set up to receive emails or push notifications.

While reserving a class is quicker and more efficient with the app, we understand that you may still want to make a reservation without the app. You have options:

  1. Send an email with your first and last name and the name, time and facility of the class you wish to take to reservations@sevymca.org
    1. NOTE: Your spot is NOT CONFIRMED until you receive a confirmation email.
  2. Call the reservation line between 9am – 5pm Monday – Friday: 805.204.0047
  3. Make a reservation with a YMCA team member while you are at the branch.

You can view the class schedule at www.sevymca.org/liveclasses OR you can view the entire schedule on the App (see instructions above).

At this time, you will be unable to access our Youth Enrichment classes without a reservation.

    1. OUTDOOR ENRICHMENT CLASS FILTER:

        2. A notification will pop up on the bottom – click on the “+” sign on the top right
        3. Create a name for your filter – ie MOVE ‘N’ GROOVE
        4. Scroll to the bottom and click on “Room”
        5. Click on “STUDIO 1”
        6. Click on “Done”
        7. Click on “Save”
        8. You will now ONLY see indoor reservation times for Move N Groove at Yarrow Family YMCA
  8. You are now able to book the class you wish to book for your child.
  9. Classes can be reserved 24 hours prior to start of class for LIVE Enrichment Members or 48 hours prior to start of class for full facility members.
     

NOTE: You can only book for one child via the app. You must send an email to youthenrichment@sevymca.org to let her know if more than one child is attending the particular class you registered for.

  1. If you are having trouble booking a class on the app, please email either Tori at youthenrichment@sevymca.org or reservations@sevymca.org with your reservation request.
    1. Please include in your email:
      1. Name(s) of person(s) who will participate in the class
      2. Class(es) you wish to sign up for
    2. You may also call the reservation line between 9am – 5pm Monday – Friday: 805.204.0047
    3. You can book your next class while at the branch with a Y Team Member.

You can now make your reservations online. You will need to log in using the log in information you create in MyWellness (instructions in the section titled, "RESERVATION GUIDELINES...."

CANCELLATION POLICY

CANCELLATION POLICY (All Reservations):

  1. You must cancel your reservations more than 6 hours of your reserved time slot.
  2. If you do not cancel within the 1 hour and cannot attend the class or time slot, that will be considered a late cancellation.
  3. You are only allowed 3 late cancellations per month. If you hit the 3rd cancellation, your reservation account will be frozen for the remainder of that month and you will not be allowed to reserve a time slot until the next month (you will still have access to our Virtual Classes). You are able to walk in if there is space available, however you are not guaranteed a spot.
  4. On the 1st of each month, your late cancellation record starts over.
  5. We understand that there may be a morning that you wake up and are unable to make your class/time slot. If it is less than 1 hour prior to the start of your class, it will still be counted as one of your late cancellations.
HOW TO LOG INTO VIRTUAL CLASSES

VIRTUAL FITNESS CLASSES
With your Y Membership, you have access to our Virtual On-Demand Classes or Y360.

Instructions on how to access your Virtual Classes:

  1. Visit https://www.sevymca.org/
  2. Go to the top and click on Virtual YMCA
  3. On this landing page, you will click on the purple button that says “LOG INTO VIRTUAL Y”
  4. You will need your membership ID barcode, either emailed to you or on your membership card, to access either the Fitness Classes or the Enrichment Classes
  5. Click on the “LOG IN” button and you will be prompted to type in your barcode
  6. A schedule of classes will show up and you can click on the class you want to join
  7. These classes are run on Zoom - if you have not previously downloaded Zoom, it will prompt you to download prior to joining the class
  8. All On-Demand Classes are also available once you log in
  9. HAVE FUN!

GROUP X CLASS POLICIES

GROUP X CLASSES
WHAT YOU NEED TO KNOW:

  1. FACE COVERINGS Face coverings are no longer required at our Ys.
  2. Bring your own water bottle
  3. Bring your own mat
  4. Bring your own towel
  5. Bring your membership card/key tag (or your phone is your membership barcode is on your app)
  6. Restrooms are available, you will need to ask the Fitness Attendant to direct you where to go.
  7. Facility Members can book 49 hours prior to the start of the class.
  8. If the class you wish to take is full, you can be put on the wait list. If a spot opens up, you will be notified immediately if you would still like to take that class.
    1. Every person on the waitlist will be notified at the same time. Filling the open spot will be on a first come, first serve basis.

ENRICHMENT CLASSES

  • LATE POLICY: If you arrive more than 5 minutes after the start of any class, you will not be permitted to take the class.
  • Children are allowed to bring a water bottle and a towel or mat for them to sit on to class. All other belongings will not be permitted into the class location.
  • Children 6 years and younger must accompanied to the restrooms located inside the fitness facility.
  • Apply sunscreen and anything else you see personally important before you exit your vehicle.
  • Parents are not allowed to leave while child is in class. They must stay the entirety of the class time and be available if their children need assistance.
    • Parents and/or adults responsible for the child may wait in the class area, personal vehicle, or workout in the outdoor fitness area (if membership allows). 
    • Children may not be left unattended in between class end and start times.
  • Children must wear closed-toe shoes for outdoor classes.
  • Reservations open up 49 hours prior to the start of class for drop-in classes.
  • Registrations for Session-Based classes begin the week prior to the start of session. Learn more about Session-Based classes HERE
  • Reservations must be made on our app. If there is no one signed up 2 hours prior to the start of the class, the class will be cancelled.
BASKETBALL & PICKLEBALL POLICIES (Yarrow Only)

BASKETBALL GYM & PICKLEBALL POLICIES (Yarrow ONLY):

BASKETBALL POLICIES

  1. Reservations are made on the top of hour during open gym time
  2. Reservations time slots are 55 minutes
  3. Each member must make their own reservation (must be a full facility member)
  4. Basketballs must be checked out with the fitness attendant on the fitness floor (only YMCA basketballs are allowed to be used)
  5. Must wear proper closed-toe athletic shoes (no heels, sandals, etc.)
  6. No hanging on the rim
  7. Must be at least 12 years old
  8. Only water is allowed on the court (no food or other beverages)

PICKLEBALL POLICIES

  1. Reservations are made on the top of hour
  2. Reservations time slots are 55 minutes
  3. One member must make the reservation for up to 4 people (must be active facility members)
  4. Must bring your own equipment (we provide the net and court)
  5. Must wear proper closed-toe athletic shoes (no heels, sandals, etc.)
  6. Must be at least 12 years old
  7. Only water is allowed on the court (no food or other beverages)

CHANGES AND MEMBERSHIP HOLDS:
Any membership changes including draft date, billing changes, termination, and member information changes must be done by email info@sevymca.org. A membership change requires fifteen (15) days prior to the 1st of the month to take effect. Any changes that increase the monthly dues will require a pro-rated fee to be collected at the time of the change. Please note that the name you will see on your billing statement is “Southeast Ventura County YMCA” or “SEVYMCA.”

PHOTOGRAPHIC AND VIDEO RELEASE:
In exchange for good and valuable consideration, the adequacy of which is hereby acknowledged, I hereby give the YMCA of Southeast Ventura County, its volunteers, employees, and any other person or entity acting with its permission the right to take, copyright, use, and publish and photographs or videos of me and/or my children for the purpose of any YMCA advertising, promotion, or other purpose consistent with the YMCA mission. I agree that any such photograph or video is the property of the YMCA of Southeast Ventura County, and I hereby waive all rights thereto. I further waive any right to inspect or approve any printed or electronic material what may be used in conjunction with photographs or video, or to approve the use to which the photographs or video may be applied.


INSURANCE DISCLAIMER:
The YMCA of Southeast Ventura County does not carry health or accident insurance on its members or participants. All expenses incurred in the treatment of illness, injuries, or accidents will be the responsibility of the participant and his or her parents or guardians.


CODE OF CONDUCT:
The YMCA of Southeast Ventura County is committed to providing a safe and welcoming environment for all members and guests. To promote safety and comfort for all, individuals are asked to act appropriately at all times when in our facility or participating in our programs.

We expect persons using the Y to act maturely, to behave responsibly, and to respect the rights and dignity of others. Our members’ Code of Conduct outlines prohibited behaviors, but it is not intended to be an all-inclusive list of behaviors considered inappropriate in our facilities or programs.

PROHIBITED BEHAVIORS:

  • Using or possessing alcohol or illegal drugs and/or chemicals on Y property, in Y vehicles, or Y-sponsored programs
  • Smoking on Y property -- the Y and its property is a smoke free environment
  • Carrying or concealing a firearm or weapon on Y property
  • Harassment or intimidation by words, gestures, body language, or any type of unwelcome behavior
  • Physical contact with another person in an angry, abusive, or threatening way
  • Verbally abusive behavior, including angry or vulgar language, swearing, name-calling, or shouting
  • Sexually explicit conversation or behavior, any sexual contact with another person
  • Inappropriate, immodest, or sexually revealing attire
  • Theft or behavior that results in the destruction or loss of property
  • Transferring membership cards
  • Loitering within or on Y property
  • Willful defiance of YMCA policies, procedures or rules 

In addition, the Y reserves the right to deny access or membership to any person who has been accused or convicted of any crime involving sexual abuse, is or has been a registered sex offender, has ever been convicted of any offense relation to the use, sale, possession, or transportation of narcotics or habit forming and/or dangerous drugs, or is presently or habitually under the influence of dangerous drugs or chemicals, narcotics, or intoxication beverages.

Members and guests are encouraged to take responsibility for their personal comfort and safety by asking any person who threatens their comfort to refrain from such behavior. Anyone who feels uncomfortable in confronting a person directly should report the behavior to a staff person on duty. In order to be able to carry out these policies, we ask that members and guests identify themselves when asked.

The Y will investigate reported incidents. Suspension or termination of Y membership privileges may result from a determination by the Y if in its discretion a violation of the Y member’s Code of Conduct has occurred.


NOTICE OF SEX OFFENDER SCREENING:
The YMCA conducts regular sex offender screenings on all members, participants, and guests. If a sex offender match occurs, the YMCA reserves the right to cancel membership, end program participation, and remove visitation access.
